Checklist for International Contracts, Agreements, and Amendments
Getting Approval for Contracts, Agreements, and Amendments:
- Please allow 30 days for processing (see flowchart for steps to be taken).
- All documents (e.g., binding contracts, non-binding agreements, amendments, and attachments) should be written in English (additional copies in other languages are permissible). NOTE: Agreements for international sponsored research proposals should follow the procedures found at: http://orsp.umich.edu/proposals/index.html.
- The Provost will not sign any document (including, for the time being, previously approved templates) that has not been specifically reviewed by the Office of the General Counsel (via Stephanie Schmitzer). Templates for Memoranda of Understanding and Exchanges may be downloaded here; however, even if one of these templates is used, the Office of the General Counsel needs to review your specific documents.
- When submitting international documents for review to the Office of the General Counsel, please include this separate sheet that provides specific information about the agreement to the Provost and Vice Provost for International Affairs and is to be signed by the leader(s) of the responsible unit(s). This document is for internal purposes and will not be a part of the formal agreement.
- After getting approval to proceed from the Office of the General Counsel, please gather appropriate signatures for the documents – i.e. all Ann Arbor agreements should be signed by the Provost or authorized delegate; Flint and Dearborn agreements should be signed by the appropriate Chancellor or authorized delegate.
After a Document is Signed:
- Send one copy of the final signed (either hard copy or electronic PDF) contract, agreement, or amendment and all accompanying documentation to the Office of the Vice Provost for International Affairs, 6060 Fleming Administration Building, 1340. NOTE: This step is NOT necessary if the Provost or authorized delegate signed your document.
- Within 30 days of the end of the term of this arrangement, please send a short (no more than one-page) summary of the outcomes of this partnership to the VPIA, 6060 Fleming Administration Building, 1340 or via email to: kati@umich.edu.
Additional Items to Consider when Working on an Arrangement with an International Entity:
- For those arrangements that are intended to include other departments and/or student exchanges, please contact the appropriate individual(s) from this list (in progress) as soon as possible to ensure viability of the exchange.
- Please do NOT offer housing for exchange students coming to U-M.
- For those arrangements that will include research using human subjects, please contact the IRB for prior approval.
- For those arrangements that will include travel to or from U-M, please review the advice on the International Center website for information about and help with immigration and health insurance issues and/or requirements.
- Also, please review the travel policies and use the travel registry.
- All international travelers be covered by the University's approved travel abroad health insurance. (NOTE: Faculty and staff are covered under the University's blanket policy.)
