Delegations Checklist

Getting Approval for Contracts, Agreements, and Amendments:

  • If the visiting delegation includes an institution’s executive officers (i.e. Vice Presidents, Provost, or President), the Office of the Vice Provost for International Affairs (VPIA) is happy to assist with the arrangements.
  • If the visiting delegation does not include an institution’s executive officers, the visit should be arranged by the school, college, department or unit that was contacted by the visiting institution. The Office of the VPIA should be notified if a visit takes place.
  • If your unit is contacted directly by an overseas institution about receiving a visiting delegation but does not wish to do so, it is acceptable to decline and indicate that they may contact the Office of the VPIA if further discussion is desired.
  • If there is interest in signing a memorandum of understanding or other agreement with visiting institution, information and guidelines are available on the Global Portal. Agreements must be reviewed by the OGC before they can be signed.
  • Information that may be useful in responding to requests and arranging visits may be obtained from the following:
    • The centralized email group for international delegations, international.delegations@umich.edu, may be contacted to determine if other U-M units are available or interested to meet the visitors.
    • The central database of international non-sponsored agreements (soon to be on the global portal, but currently in preparation) may be consulted to learn about other relevant international agreements. In the meantime, you can call the Office of the VPIA.
    • Information about ongoing sponsored research with the visiting institution, or other relevant ongoing research, may be obtained from OVPR or ORSP.
    • Information about development activity that may be relevant can be obtained from U-M Central Development (Brodie Remington or Elizabeth Kumin).
    • Information about alumni activity that may be relevant can be obtained from Alumni Affairs (Jo Rumsey).
